Your systems. Your priorities. Local employment and office support from Lynk.

CHOOSE THE RIGHT PERSON

Is project administration the right fit?

Choose project administration when coordination and document workload are taking time from your project managers. If the role also needs detailed claims, variations or subcontract administration, consider a contract administrator with the relevant commercial experience.

Your team leads the work

Your project managers lead delivery, site decisions, programme changes and external commitments. Give the administrator named contacts, reliable inputs and clear escalation rules.

WHAT THE ROLE CAN COVER

Free up the people running your projects.

01

Document control

Maintain drawing registers, revision records and filing conventions so your team can find the current information.

02

RFI coordination

Log requests, track owners and due dates, and follow up responses through your agreed channels.

03

Project reporting

Compile updates from your systems, prepare meeting packs and keep action lists current for your project manager.

04

Schedule administration

Update milestones and track agreed actions using information supplied by your delivery team.

05

Procurement follow-ups

Chase quotation responses, delivery updates and missing documentation, escalating issues to the relevant manager.

06

Project setup and close-out

Organise folders, registers, handover records and completion documentation using your checklists.

Choose the support your project team needs.

For the daily detail

A support role can maintain document registers, update records and follow up outstanding information against clear instructions.

For broader coordination

Look for experience managing competing deadlines, reporting cycles and information across several projects. Your project managers still direct delivery.

FROM BRIEF TO FIRST WEEK

Make the first handover a useful one.

01

Define the systems

Your brief can include Procore, Aconex, SharePoint, Microsoft 365 or the platform your team already uses. Specify the workflows they will manage, not just a list of software names.

02

Interview for the work

Review comparable projects, ask how candidates check their work and discuss a practical task if useful. Agree the expected experience and autonomy before selecting your person.

03

Set up the handover

Provide your folder structure, current registers, meeting rhythm and project contacts. Start with one project, agree what a complete weekly update looks like, then extend the scope as the workflow settles.

BEFORE YOU HIRE

A few practical answers.

01

How is this different from a general virtual assistant?

The brief focuses on construction documentation, coordination and project systems. Relevant project experience matters when the work includes drawing revisions, RFIs and site-team follow-ups.

02

Can they replace a site-based project manager?

This role supports the project team remotely. It does not cover physical inspections, site supervision or decisions requiring someone on site.

03

Can one administrator support several projects?

Yes, if the volume and complexity fit. Scope the number of projects, weekly meetings, document traffic and reporting requirements before deciding whether one person has enough capacity.

04

How much does it cost?

Pricing depends on the individual, experience, responsibilities and working arrangement. We provide a quote for your brief. The pricing calculator is an indicative planning tool, not a fixed price for every candidate.

05

How soon can someone start?

The timeline depends on the brief, available candidates, interviews and notice periods. Discuss your preferred start date early so recruitment and onboarding can be planned around it.
