How to Plan Business Support Around Your Workload

Define the work, choose the right role and understand the support included when hiring a dedicated offshore team member.

When admin, accounts or project paperwork starts delaying the rest of the team, the first task is to work out what needs a regular owner. A clear role makes recruitment and the eventual handover easier.

Start with the work

List the tasks that keep returning, how much time they take and which deadlines matter. Include the software, documents and people the role will need to work with. Separate tasks someone can complete independently from decisions that need your review.

For a construction business, the list might include invoice processing, drawing registers, RFI follow-ups, reporting or tender administration. Use the workload to decide whether you need accounts support, a project administrator or another specialist.

Choose how the role will be managed

With a dedicated offshore employee, your business directs the work. Someone on your team needs to set priorities, explain your processes and provide feedback. Plan for that management time before the person starts.

If you need a provider to deliver an entire project or outcome instead, agree that scope with a provider offering that service. Dedicated staffing gives you a team member to manage.

Prepare the handover

  • Name the person who will manage the role.
  • Prepare system access and example work.
  • Set a manageable first-week workload.
  • Agree on review points and regular check-ins.
  • Explain when to ask questions or escalate an issue.

Review the role as the person learns your processes. Add responsibilities when the existing work is being handled well.
