About the Role

Lynk Global is looking for an Administration Assistant to support an Australian flooring supply business servicing both commercial and residential projects across Australia. This role is responsible for managing customer orders, supplier coordination, freight tracking, purchasing administration, and product data maintenance across multiple business systems.

This role is ideal for a highly organized professional with strong administration, data entry, and customer service experience. The successful candidate will work closely with suppliers, freight providers, and internal teams to ensure orders are processed accurately, product information remains current, and operational workflows run smoothly.

Experience working with large spreadsheets, product catalogues, inventory systems, and Australian businesses is highly desirable. Strong attention to detail, problem-solving abilities, and the capacity to manage multiple priorities are essential for success in this role.

Work setup is fully on-site in BGC, Taguig.

Key Responsibilities
  • Process customer orders accurately through eCommerce and backend systems.
  • Manage customer orders from receipt through to delivery and ensure timely fulfillment.
  • Coordinate with suppliers, freight providers, and internal stakeholders regarding orders and deliveries.
  • Perform bulk product updates using spreadsheets and CSV files.
  • Raise purchase orders and support purchasing workflows using Xero.
  • Book, monitor, and track freight movements, ensuring delivery timelines are met.
  • Maintain product catalogues, pricing information, SKU structures, and product specifications.
  • Follow up with suppliers regarding shortages, outstanding orders, and backorders.
  • Verify supplier pricing and ensure costs are accurately entered into company systems.
  • Assist with supplier invoice reconciliation against purchase orders and deliveries.
  • Upload and maintain product images, descriptions, collections, and categories using supplier-provided information.
  • Track delivery progress and proactively resolve shipment delays or freight issues.
Qualifications:
  • Solid experience in administration, order management, data entry, or operations support.
  • Excellent English communication and customer service skills.
  • Strong Microsoft Excel skills, particularly when working with large datasets.
  • Experience managing high-volume spreadsheets and maintaining data accuracy.
  • Strong organizational, time management, and multitasking abilities.
  • High attention to detail and commitment to process compliance.
  • Ability to work independently, take ownership of responsibilities, and solve problems proactively.
Nice to Have:
  • Experience raising purchase orders and managing purchasing workflows in Xero.
  • Experience managing large product catalogues and inventory-related data.
  • Exposure to inventory, purchasing, order management, or eCommerce systems.
  • Experience supporting Australian businesses or customers.
